Emergency Procedures

Please be aware of the University’s policies for medical emergencies and crises. The Department and student staff can assist with most emergencies, but in case no staff are present, please note the following:

Important Numbers

Emergency Police/Fire/Rescue Squad: 911

  • All local jurisdictions monitor the emergency line – the University, the City of Charlottesville, and Albemarle County. In every situation that requires the presence of emergency service personnel, call the area dispatcher at 911. The appropriate departments (police, fire, and/or rescue squad) will respond. 

Police, non-emergency: Call 924-7166 (doors locked, etc.)

Facilities Management: 924-1777 (Only call when staff are not available. Otherwise, please report all facilities issues to the Administrative Assistant)

Facility problems include:

  • Air conditioning/heating problems
  • Alarms sounding
  • Broken elevator
  • Gas odor
  • Power outages
  • Plumbing problems
  • Snow/ice
  • Water leaks

Phone Procedures during an Emergency

  • Identify yourself (full name)
  • State your position (i.e., faculty for the McIntire Department of Music)
  • State the problem (be concise and professional)
  • State the location (i.e., Old Cabell Hall at the south end of the Lawn)
  • State the phone number where you can be reached and a location where they can look for you when they arrive. (ex: I can be reached at 924-3052, and I’ll be waiting for you in the lobby of Old Cabell Hall.)
  • Always get the name of the person with whom you spoke and the time you spoke to them. Write it down! Also write down what they said in case you have to make another call. (Ex: Kim at Facilities Management said at 7:15 that someone would be here to fix the elevator by 7:30. It is now 7:45 and no one has arrived. Can you please tell me what the estimated time of arrival is?)
  • Keep other staff informed. Please brief the other staff members who might have to answer calls or direct people, i.e., house managers, box office clerks, etc. (Ex: I have called the Police/Rescue Squad because someone fell outside, and they should be coming to or calling this office. I have to go stay with the person who fell. Could you please bring the police to me as soon as they arrive?)
  • Document the incident on an Incident Report Form – even if it was easily resolved. In addition, document the incident in an email and provide a copy of the form to the Administrative Assistant or the Chair’s Assistant and Academic Programs Coordinator.
