Performance Faculty Administrative Duties

Faculty Meetings

There are Performance Faculty Meetings held periodically throughout the year, generally on Wednesdays, 12:00-1:00 pm. A schedule is distributed by the Chair’s Assistant and Academic Programs Coordinator at the beginning of each semester. Attendance is required for salaried Lecturers, and all adjunct Instructors are welcome and encouraged to attend.

Annual Arts Supplements

Prospective UVA students may submit a Fine Arts Supplement with their applications. The Music Department liaison for Fine Arts Supplements is the Chair’s Assistant and Academic Programs Coordinator. All faculty are expected to assist in evaluating the supplements in a timely manner. These are then collated by the Chair’s Assistant and Academic Programs Coordinator and submitted to the Admissions Office. The rankings are taken into account in the following manner: prospective students must meet all of UVA’s academic requirements for admission, but the supplement helps delineate between two prospective students who are otherwise equally ranked when making admissions offers. Once the prospective student has been offered a place at UVA, we receive a list of those students with their contact information, so that we may actively recruit them to accept UVA’s offer.

The Fine Arts Supplements also provide our main opportunity to identify potential Arts Scholars. Performance Faculty are encouraged to keep a ranked list of the students whose supplements they reviewed. This aids significantly when the call for Arts Scholars nominations is sent in spring semester by the director of the Arts Scholars program (currently Michael Rasbury, Drama Department).

University Policy on Discrimination and Sexual Harassment

The policy on discrimination and sexual harassment is strict and taken seriously by the University. All salaried Lecturers and adjunct Instructors must complete the online training modules at least every two years: http://training.newmedialearning.com/top_level/uvirginia_choice.htm.

A copy of the Certificate of Completion must be printed out or saved as a pdf and given to the HR Representative, who maintains compliance records.

New faculty are given an orientation by the HR Representative and other members of the Music Department faculty and staff.

Benefits Orientation

Salaried faculty members are expected to attend a benefits orientation held by Central Human Resources. The Arts and Sciences HR Representative will provide information about time and location. A confirmation email will be sent to the employee by Central HR.

Arts and Sciences Faculty Orientation

An orientation for new faculty is held in late September or early October. The Dean’s Office will notify half-time lecturers of the date, but all new faculty are encouraged to attend.

Obtaining a UVA ID Card

Faculty who are half-time and above are eligible to obtain a UVA ID card.

In order to obtain a UVA ID card, you will need to be entered into the Integrated System database (completed by the Dean’s Office) and provide a completed request for ID card form. The form can be accessed here: http://www.virginia.edu/idoffice/pdfs/facstaffidform.pdf

The University ID Card Office is located at Observatory Hill Dining Hall, 525 McCormick Road (http://www.virginia.edu/idoffice/obtainid.html). Please be prepared to show a picture ID such as: a valid Driver’s License, Passport, or other government issued ID.

Department Directory

Chair’s Assistant and Academic Programs Coordinator maintains the Department Directory. It comes out in the fall, and is updated on a regular basis and distributed to all faculty, graduate students and staff.

Payroll Information

Self-service for payroll is available on the university’s web site: http://www.virginia.edu/integratedsystem/index.html

In self-service, you can complete tasks such as changing personal and banking information, viewing and printing your pay slips, viewing and printing your W2 tax form, and updating your W-4 tax form.

Keys

Office keys are administered by the Chair’s Assistant and Academic Programs Coordinator.

Computers/Printers

  • The Information Technology Specialist (Tim Wilkinson - tkw4u@virginia.edu) is in charge of all computer and printing needs in OCH.
  • The Department expects you to use your UVA e-mail address. Documents come through on a regular basis and you are expected to read and respond to them in a timely fashion.

  • The University policy is to provide each full-time employee with a computer for work-related issues.
  • Computers and printers are available for salaried Lecturers and adjunct Instructors in the Music Office and in the teaching area on the lower level.
  • There are additional computers for use in the Music Library. The ones on the lower level (near S008) are managed by the Music Department. The ones on the upper level are managed by the Library system and require an e-services account to log on (see above).

Photocopies

  • The photocopier is located in the front room of the Music Office, and additional copiers are located in the Music Library and other libraries on grounds.
  • All full-time faculty are issued copy cards
  • Salaried Lecturers can use the copy card kept at the front desk
  • Graduate TA copy card is at the front desk  

Supplies

  • Office supplies are located in a series of cupboards in the back office, most of which are located in the cubicle across from the Director of Music Production’s office.
  • If you have specific supply needs, contact the HR Representative/Fiscal Coordinator to place an order.

Lockers

  • Salaried lecturers will be issued personal space in an instrument locker as well as additional locker space for school instruments for which they are responsible, as needed.
  • Lockers are available to adjunct Instructors on a first-come-first-served basis for a fee of $10/year.
  • Personal lockers are used at your own risk and neither UVA nor the McIntire Department of Music is liable for any loss, damage, or theft of the contents left in any locker. Locker use is governed by the University’s policy on personal property:

“Personal property belonging to employees or students that is located on Grounds is not covered by State or University property insurance, unless their property is damaged through some negligence on the part of the University. It is strongly recommended that individuals having personal property at the University contact an insurance agent for appropriate insurance coverage, such as homeowners or renters insurance, to protect their personal possessions” (https://policy.itc.virginia.edu/policy/policydisplay?id=%27FIN-006%27#Personal_Property)

  • You may store only your instrument and relevant teaching/research materials in your locker.

Cooking facilities and lounge areas

  • The lounge area located in the back of the Music Office has a refrigerator, microwave, coffee machine and water boiler available for use by all faculty and staff.
  • The lounge area located on the second floor adjacent to the teaching studios has a microwave and refrigerator available for use by all faculty and staff.

Parking

  • UVA’s Parking and Transportation Office (http://www.virginia.edu/parking/) is located at 1101 Millmont Street.
  • There is no free parking at UVA in the daytime. After 5 pm and on the weekends, many lots become available for free parking. The closest parking is in the C1 lot by New Cabell Hall, and in the two K2 lots on Brandon Ave.
  • There are relatively inexpensive monthly permits available for the remote lots at U-Hall and Ivy Garage, and you can also purchase sheets of 10 one-time use passes for those lots as well.
  • UVA Parking tickets are expensive! You get one warning per year. After that, you will be ticketed, and possibly towed, if your car gets caught in the wrong place at the wrong time.

Music Library

UVA has a first-class music library (http://www2.lib.virginia.edu/music/), located two floors below the Old Cabell Hall lobby. The library has a collection of over 135,000 books, scores and sound recordings, extensive online collections, and robust computing capabilities. Our librarians are very knowledgeable and go to great lengths to provide us with the materials we need for our teaching and research.

Center for Teaching Excellence
